We are seeking a Customer Service & Scheduling Representative to support a busy spa business based in New York. This role involves handling appointment bookings, managing client communication, and coordinating with on-site staff to ensure smooth daily operations. The ideal candidate is detail-oriented, customer-focused, and fluent in both English and Chinese.
Job Highlights
Monthly Rate: Php 40,000-46,000
Number of Paid Hours Per Week: 40 hours
Schedule: Thursday to Monday, 10:00 AM – 7:00 PM EST (includes 1-hour unpaid break); two days off: Tuesday and Wednesday
Client Timezone: New York (Eastern Standard Time)
Work Arrangement: Work from home
Contract: Independent Contractor
Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates, and the rate depends on performance in the application process.
Responsibilities
- Answer incoming phone calls and respond to text messages from clients seeking spa appointments
- Manage complex appointment scheduling across multiple services (massage, facial, spinal decompression) while considering 15-minute cleanup times between sessions
- Proactively optimize scheduling to accommodate multiple clients and maximize daily bookings
- Handle customer inquiries, including payment processing questions and gift card usage
- Coordinate with on-site therapists (primarily Chinese-speaking) using WeChat for internal communication
- Process client check-outs and assist with payment-related concerns
- Maintain and update the booking system to ensure accurate and current appointment records
- Deliver exceptional customer service to ensure client satisfaction and retention
Scope
- Full-time position (40 hours per week), 5 days per week initially with potential expansion to 6 days
- Remote work arrangement handling phone and text-based client interactions
- Work schedule aligned with business hours (8:30 AM to 8:30 PM coverage window)
- Potential for future video-based customer interactions using screen technology
- Performance-based commission opportunities available

Requirements
- Strong communication skills in both English and Chinese, with a clear and professional phone manner
- Previous experience in customer service or receptionist roles
- Proficiency in booking software and payment processing systems
- Proactive problem-solving skills and the ability to find creative scheduling solutions
- Comfortable using WeChat and other communication platforms
- Ability to work independently while managing multiple tasks simultaneously
- Flexibility to handle varying call volumes throughout the day
