Job Responsibilities

  1. Track and monitor the progress of all submitted visa applications, promptly addressing any emergencies or issues.
  2. Maintain and update employee records, ensuring accuracy in visa and employment status information.
  3. Communicate with external agencies to follow up on visa processing and related matters.
  4. Continuously improve visa application processes and operational guidelines to enhance approval rates and ensure compliance.
  5. Provide visa-related solutions and coordinate all visa processing activities.
  6. Stay updated on the latest visa policies and requirements from various embassies and authorities.
  7. Reconcile visa-related invoices and coordinate deduction items with the payroll department.
  8. Request public documents through the legal team as needed.
  9. Assist employees with government number registration or verification (e.g., BIR TIN).
  10. Support employee compliance with Bureau of Immigration requirements (e.g., biometrics, photo submissions).
  11. Process and monitor payments for visa services billed by third-party agencies.
  12. Receive and endorse passports for new hires and resigning employees in coordination with partner agencies.
  13. Regularly verify and update the master data file to ensure information accuracy.
  14. Share updated visa and I-Card information (e.g., issuance, validity, position, company affiliation) with HRIS and Payroll.
  15. Register new third-party agencies, coordinate documentation, and ensure compliance with company standards.
  16. Scan, save, and archive copies of all newly released I-Cards, visa stamps, and visa orders.
  17. Prepare and manage the monthly visa budget, including service fees, visa fees, and reimbursements.
  18. Coordinate with Finance and partner agencies on process updates, memos, and policy changes.
  19. Perform other related tasks as assigned by management, maintaining effective communication with all departments.

Qualifications

  • Bachelor's degree or above, preferably in Human Resources, Business Administration, or a related field.
  • 2–3 years of relevant experience in HR, administration, or visa processing.
  • Proficient in MS Office applications (Excel, Word, PowerPoint) with strong data analysis abilities.
  • Excellent comprehension, communication, and interpersonal skills.
  • Strong organizational, coordination, and multitasking capabilities.
  • High attention to detail, sense of responsibility, and adherence to compliance standards.
  • Ability to work efficiently under pressure and handle multiple priorities.
  • Familiar with visa categories, immigration processes, and regulatory requirements.
  • Proficient in English (listening, speaking, reading, and writing).
