The Purchasing Assistant provides support to the Purchasing Team by handling day-to-day procurement tasks such as open market buying, receiving, and documentation. The role ensures that supplies are procured on time, properly received, and recorded in coordination with the restaurants, commissary, and warehouse. The position helps maintain smooth purchasing operations and ensures alignment with company standards for quality, cost, and compliance.

Key Responsibilities:

Open Market Procurement

  • Source and purchase food, beverage, and non-food supplies from open markets and accredited vendors.
  • Ensure items purchased meet company quality standards at the most competitive price.
  • Secure and submit receipts, delivery notes, and supporting documents for all purchases.

Receiving & Coordination

  • Assist in receiving deliveries at the warehouse or suppliers, ensuring items match purchase orders and delivery receipts.
  • Check product quality, quantity, and expiration dates before accepting goods.
  • Coordinate with outlet managers, chefs, and warehouse staff regarding shortages, substitutions, or quality concerns.

Support to Purchasing Team

  • Assist in preparing purchase orders and canvassing forms for review and approval.
  • Maintain updated records of daily market purchases, deliveries, and petty cash usage.
  • Support vendor coordination, including follow-ups on pending orders or replacements for defective items.

Documentation & Reporting

  • Submit daily reports of open market purchases and receiving activities to the Purchasing Officer.
  • Ensure all documents (POs, DRs, Invoices, Receipts) are complete and endorsed to Accounting on time.
  • Help maintain supplier and product databases by providing updated details from open market sources.

Compliance & Other Tasks

  • Adhere to company procurement policies, food safety guidelines, and internal controls.
  • Safeguard company funds (cash advances/petty cash) and ensure proper liquidation of expenses.
  • Perform other related functions and provide support to the Purchasing Team as required.

Qualifications:

  • At least College level, preferably in Business Administration, Supply Chain, or Hospitality Management.
  • With 1–2 years of experience in purchasing, procurement, or receiving (F&B/restaurant industry experience is an advantage).
  • Familiarity with food and beverage items, suppliers, and open market purchasing.
  • Basic knowledge of documentation, inventory monitoring, and procurement processes.
  • Honest, reliable, and detail-oriented, with strong organizational and communication skills.
  • Proficient in MS Excel, Google Sheets, or other basic office applications.
  • Willing to work flexible hours, including early mornings for market sourcing.
