Role Overview:

The team member plays a pivotal role in ensuring the seamless execution of commercial transactions and internal workflows. This position bridges administrative precision with cross-functional coordination, supporting the company in delivering timely, accurate, and well-documented outcomes.

Responsibilities:

  • Ensures accurate order placement, tracking, and reconciliation across systems.
  • Prepares and maintains contract integrity and documentation flow using SAP and internal tools.
  • Reconciles served orders versus orders placed.
  • Assists in monitoring payment receipt to ensure the supply process has been triggered.
  • Provide frontline assistance for customer inquiries and internal communications.
  • Collects, sorts and records invoices forwarded by the Finance Group for proper handling.
  • Collects, sorts and records documents forwarded by accounts and suppliers for proper handling and filing.
  • Evaluates and improves existing processes to achieve better efficiency.
  • Maintains an efficient filing system for ready reference by the group (e.g., Price advices, correspondences, purchase orders).
  • Properly relays important matters to the Sales and Purchasing Managers while they are out on area coverage.
  • Accompanies the Sales and Purchasing Managers during meetings when necessary.
  • Performs various clerical work such as:

  • Controls, routes and dispatches incoming and outgoing mails to ensure that these are acted upon immediately.

  • Assists in the reproduction of documents as necessary.
  • Other work necessary for the day-to-day operations of the group.
  • Facilitates coordination across departments to streamline the end-to-end sales cycle.
  • Monitors and processes payments to suppliers.
  • Requests office materials as needed.
  • Performs other related jobs which may be assigned from time to time.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Preferably with 2 years of experience in administrative, sales operations, or supply chain support roles but fresh graduates are welcome to apply.
  • Detail-oriented with a strong commitment to data accuracy and workflow efficiency.
  • Skilled in maintaining organized filing systems and handling sensitive documentation.
  • Able to multitask and manage competing priorities in a fast-paced environment.
  • Excellent verbal and written communication skills for internal and external coordination.
  • Comfortable interfacing with customers, suppliers, and cross-functional teams.
  • Proficient in MS Excel, Word and PowerPoint.
