The role of a paralegal play in combining compliance and document control. This involves conducting legalities to ensure adherence to relevant laws and regulations, meticulously managing ongoing files, accurately drafting legal documents, and maintaining organized systems to effectively track deadlines and manage information flow within legal processes. This dual function is essential for supporting the company by managing administrative and organizational tasks, thereby ensuring that legal procedures and documentation are both legally sound and properly controlled.

KEY ASPECTS OF COMBINED PARALEGAL, COMPLIANCE AND DOCUMENT CONTROL ROLE: DUTIES AND RESPONSIBILITIES include the following. (Other duties may be assigned)

Paralegal

  • Provides administrative and research support for legal professionals on construction-related matters,
  • Handling tasks such as document management, legal research, drafting contracts, and maintaining case files
  • Preparing affidavits, legal correspondence and other documents for attorneys.
  • Organizing and maintaining documents in a paper or electronic filing system.
  • Helping prepare for trial by organizing exhibits and assisting with other tasks as needed.
  • Investigating facts and laws of cases and searching public records and other resources to prepare cases and determine causes of action.
  • Attend conciliation conference, hearings and other related cases of the company as representative

Compliance

  • Serve as a point of contact between the company and regulatory bodies, staying up-to-date on new regulations and ensuring the company meets licensing requirements, permits and renewals.
  • Monitors all operational processes and procedures using a compliance management platform to ensure that the company complies with all legal regulations and ethical standards.
  • Create, review, and update company policies and procedures to ensure they align with local, state, and federal construction laws and standards.
  • Conduct regular audits of construction sites and internal processes to identify any discrepancies, risks, or violations of regulations and policies.

Document Control

  • Creating and managing organized systems for project files, encompassing the categorization, storage, and retrieval of documents.
  • Oversees and organizes all project documents, both digital and paper, including drawings, contracts, and quality control reports.
  • Implements procedures to ensure that only the current and correct versions of documents are used, preventing revision conflicts and errors.
  • Maintains the accuracy and integrity of project data and documentation.
  • Ensures documentation meets organizational, regulatory, and project-specific standards, such as OSHA safety guidelines in construction.
  • Archives obsolete documents according to established retention policies.
  • Works with project teams to ensure information is shared effectively among contractors, engineers, and other stakeholders.

REPORTING RELATIONSHIP: Reports directly to the Admin Manager

QUALIFICATIONS REQUIRED: A bachelor's degree, often in government or a related field, can also serve as a strong foundation for paralegal work. With strong communication and research skills; A two-year associate degree in paralegal studies is a common and widely accepted minimum educational requirement. Proficient with Microsoft Office

EXPERIENCE REQUIRED: Hold at least a minimum of 2 years of experience in relevant field and operational background; experience in ensuring a construction project and company adhere to legal and regulatory requirements, such as safety laws, environmental standards, and internal policies

PERSONAL QUALITIES REQUIRED: Must be results-oriented; has good interpersonal relationship skills; Ability to work under pressure and coordinate numerous activities and groups of people who need to cooperate to achieve maximum efficiency; Must be able to perform at all project management levels; Competent in conflict and crisis management.
