Document Controller / Operations Secretary

Location: Balintawak, Quezon City

Position Overview:

We are looking for a Document Controller / Operations Secretary to support our operations team by ensuring organized documentation, accurate recordkeeping, and smooth coordination of project activities. This role will also handle petty cash management and manpower scheduling for project sites.

Key Responsibilities:

  • Maintain, organize, and update all project documents, drawings, and correspondence.
  • Ensure proper filing, version control, and accessibility of technical and administrative files.
  • Coordinate schedules and manpower deployment for project sites.
  • Assist in monitoring site attendance and daily reports.
  • Handle petty cash fund for operational expenses, record all disbursements, and prepare liquidation reports.
  • Support the Operations and Project Management team with administrative and logistical needs.
  • Track project requirements and follow up with suppliers, engineers, and site staff.
  • Prepare and route internal memos, letters, and documentation for approval.
  • Ensure confidentiality and accuracy of company records.
  • Perform other related duties as assigned by management.

Qualifications:

  • Bachelor's Degree in Business Administration, Office Management, or a related field.
  • At least 2 years of experience as a Document Controller, Secretary, or Administrative Assistant (preferably in construction or glass and aluminum industry).
  • Strong organizational and time-management skills.
  • Proficient in MS Office (Word, Excel, PowerPoint) and document management systems.
  • Knowledge and experience in handling petty cash and expense liquidation.
  • Excellent attention to detail, communication, and coordination skills.
  • Ability to multitask and work under minimal supervision.

Job Type: Full-time

Pay: Php18, Php22,000.00 per month
