Compliance Assistant and Document Controller

The Compliance Assistant and Document Controller play a key role in supporting the Quality and Compliance Department to ensure that the organization and its hospital-based laboratories fully comply with national and international regulatory, licensing, accreditation, and internal quality standards (e.g., DOH, FDA, ISO, CAP, JCI, NPC, etc.).
Reporting to the Quality and Compliance Manager, this position assists in the implementation, monitoring, and documentation of compliance, data privacy, and document control programs.
RESPONSIBILITIES:
- The position is responsible for maintaining the company's document control system, managing compliance and data privacy records, supporting regulatory and licensing requirements, and coordinating with internal departments and external regulatory agencies.
- Coordinate with process owners, healthcare personnel, and third-party service providers to ensure proper handling and protection of patient data and other sensitive information.
- Maintain and manage compliance documentation, records, and reports to support audits, inspections, and regulatory submissions.
- Act as liaison between the organization and government agencies (e.g., DOH, FDA, DOLE, LGU, PDEA, NPC) on compliance and regulatory matters. Assist in preparing responses to data privacy inquiries, breach notifications, and compliance reports.
- Ensure organizational adherence to the Data Privacy Act of 2012, its Implementing Rules and Regulations (IRR), and related issuances by the National Privacy Commission (NPC). Support the conduct of data privacy awareness sessions, compliance audits, and internal monitoring activities.
- Key functions include monitoring and updating compliance documentation, assisting with Data Privacy Act implementation, managing controlled documents and records under the Quality Management System (QMS), and ensuring timely renewal of licenses and permits. The role also provides administrative support to the Quality and Compliance Department and contributes to training, reporting, and audit readiness activities.
QUALIFICATIONS:
- College Graduate/Bachelor's degree in the field of business, administration, communication, or behavioral sciences.
- Preferably with 2–3 years of experience in compliance, document control, or data privacy in a healthcare or pharmaceutical industry.
- Ability to work effectively with cross-functional teams in a fast-paced healthcare environment.
- If being considered for the role, amenable to work onsite in Makati Office.
