ob Summary:

The HR Administrative Staff is responsible for maintaining accurate employee records, assisting in attendance and payroll preparation, generating employment contracts, and providing general HR administrative support. This role plays a key part in ensuring the accuracy and efficiency of HR operations, particularly in documentation and coordination tasks.

Key Responsibilities:

1. Employee Records (201 File Management)

  • Encode and update employee information in the HR database and 201 files.
  • Ensure all employee records are complete, organized, and properly filed (both digital and hard copies).
  • Maintain confidentiality and integrity of employee data.
  • Coordinate with other departments to ensure timely submission of employment documents.

2. Attendance Monitoring and Payroll Support

  • Track and validate daily attendance, absences, tardiness, and overtime.
  • Reconcile attendance reports and prepare summaries for payroll processing.
  • Support the Attendance and Payroll Officers by ensuring timely and accurate submission of timekeeping data.
  • Assist in verifying attendance-related concerns and employee inquiries.

3. HR Administrative Support

  • Prepare and generate employment contracts, renewals, and amendments for HR review and management approval.
  • Assist in preparing HR-related documents such as memos, certificates, and notices.
  • Provide administrative assistance for recruitment, onboarding, and employee relations activities.
  • Handle general HR correspondence, filing, and document management.
  • Coordinate with other departments for HR-related requirements and support tasks.

Qualifications:

  • Bachelor's degree in Human Resource Management, Psychology, Business Administration, or related field.
  • At least 1 year of experience in HR or administrative work (fresh graduates may also apply).
  • Proficient in MS Office applications (Excel, Word, Outlook).
  • Familiarity with HRIS, attendance, or payroll systems is an advantage.
  • Strong organizational and communication skills.
  • High level of accuracy, confidentiality, and professionalism.
