Job Overview:
Start your 2026 as an Onboarding Specialist
We're looking for a Onboarding Specialist who will support end-to-end mobilisation, compliance, and workforce coordination for major industrial projects and shutdowns. This role ensures employees and subcontractors meet all site requirements and are fully prepared for deployment.
This position is ideal for someone with strong organisational skills, excellent attention to detail, and passion for administrative and compliance processes.
Key Responsibilities:
- Conduct compliance checks for medicals, inductions, and certifications, and manage all onboarding/offboarding requirements including training, PEM/DAS bookings, and site access.
- Upload, audit, and maintain accurate documentation across systems such as IFS, ERMS, Scodle, CMS, Pegasus, Avetta, and Success Factors.
- Coordinate employee training needs, schedule sessions with internal and external providers, and ensure timely completion and tracking of all requirements.
- Maintain data integrity through correct naming conventions, documentation audits, KPI tracking, and verification of IFS "Admin Complete" records.
- Collaborate closely with PH and AU teams, employees, labour providers, and stakeholders; provide regular updates through meetings and proactive communication.
Qualifications:
- Bachelor's degree in Business Administration, Project Management, HR, or a related field.
- 3+ years of administrative experience, ideally in workforce, compliance, or project support functions.
- Strong proficiency in Microsoft Office (Excel, Word, Outlook, Teams, SharePoint).
- Experience in systems like IFS, Avature, ERMS, Scodle, CMS, Success Factors is an advantage.
- Excellent English communication skills (written and verbal).
- Exceptional time management, accuracy, attention to detail, and multitasking ability.
- Resilient, adaptable, and highly organized; able to work in a fast-paced environment.
- Willing to work in the office full-time at Arcovia City, Brgy. Ugong, Pasig City. (Monday-Friday, 7:00 AM - 4:00 PM)
