The Role

Our role will give you an opportunity to oversee the management and optimisation of our facilities, ensuring a safe, sustainable, and productive space for our employees locally. You'll have a chance to act as the first point of contact for external visitors and providing best-in-class customer service to both internal and external stakeholders, including third party vendors.
Key Accountabilities
You'll support our success by:
- Managing the incoming calls and acting as the second point of contact for internal and external visitors.
- Resolving internal and external Facilities requests via Service Now, in line with KPIs.
- Managing relationships with internal and external stakeholders, including third party vendors.
- Organizing and facilitating internal and external events to ensure that they are successful. (e. g., organizing catering and/or taxi arrangements for guests and employees, room booking and support during the event).
- Ensuring all up-to-date information is displayed on the boards (e, g., notice board, leadership board).
- Raising Purchase Orders and manage invoices, updating the cost control tracker in a timely manner.
- Supporting the development and delivery of communications working alongside internal Communications function.
- Supporting the delivery of optimum cost efficiencies throughout the year.
- Supporting office emergencies e.g. First Aid or Fire Evacuation procedures and escalate, where appropriate.
- Supporting and contributing to Facilities projects and continuous improvement initiatives.
- Supporting the maintenance and improvements of the Facilities AMS platforms.
- Managing the mobile phone account for the Region where relevant.
- Act as the Subject Matter Expert of shipment of kits and assets.
- Ensuring compliance with all local / global Health and Safety regulations.
- Providing support to senior leaders in managing the engagement for assigned location communities in the region.
Skills & Experience
What you need to have to be successful:
- Minimum of one year's experience in a Facilities role.
- Excellent time management and organisational skills.
- Experience of working in a deadline driven environment.
- Excellent customer service skills.
- Proficiency with the Microsoft Office Suite.
- Knowledge of Facilities Management Software (e.g., Service Now) is a nice to have
- Safety Officer Certificate, First Aid Certificate, or Occupational Health and Safety (OHS) experience is a nice to have
- Wiling to work the night shift (8:00PM - 5:00AM Philippine Time) or mid-shift (12:00PM - 9:00PM Philippine Time)
- Willing to report onsite daily
