Position Overview
We are seeking a highly organised and detail-oriented Admin and Finance Assistant to support our team. This full-time role is critical to ensuring the smooth operation of functions across multiple departments. The successful candidate will work remotely and collaborate closely with the Managing Director, Projects Manager, and Engineering Manager to:
Streamline administrative processes
Issue and maintain accurate financial records, and
Support project execution.
Key Responsibilities
Administrative Support
Provide administrative assistance to the Managing Director, Projects Manager, and Engineering Manager.
- Schedule meetings, prepare agendas, and manage calendars.
- Draft and format correspondence, reports, and presentations.
- Maintain digital filing systems and ensure document control compliance.
- Assist with procurement processes, including purchase orders and supplier coordination.
- Support onboarding and HR documentation for new hires and contractors.
Bookkeeping Support
Maintain accurate financial records using Xero accounting software.
- Process accounts payable and receivable, including invoice generation and reconciliation.
- Manage payroll processing and employee expense claims.
- Assist external accountants in preparing monthly financial reports, cash flow statements, and budget tracking.
- Assist external accountants with BAS, GST, and other statutory reporting requirements.
- Liaise with external accountants and auditors as needed.
Project Coordination
Track project timelines, budgets, and deliverables.
- Assist with compiling project documentation and progress reports.
- Coordinate communication between internal teams and external stakeholders.
Qualifications & Experience
- At least 2 years' experience in administrative / operations support, executive assistance, invoicing, payment processing, project coordination, or related work
- Graduate of Accounting, Business Administration, or related field.
- Proficiency with Xero accounting software and Microsoft Office Suite.
- Strong understanding of Australian financial regulations and compliance.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple priorities remotely.
