Broker Assistant

Position Purpose
The Broker Assistant plays a key role in supporting operations by providing high-quality administrative and client servicing support from our Manila hub. This role ensures seamless coordination between our Australian brokers, insurers, and clients, while contributing to operational efficiency and business growth.
Key Responsibilities
Brokerage Support
- Process new business, renewals, endorsements, and cancellations in line with service-level agreements (SLAs).
- Prepare and issue Certificates of Currency, Certificates of Placement, and Home Indemnity Certificates.
- Handle quotations, claims experience reports, schedules, invoices, and policy documents.
- Ensure timely follow-ups on outstanding debtors and policy documentation.
Client & Stakeholder Coordination
- Draft and manage correspondence between clients, brokers, and insurers for review/approval.
- Assist in managing customer complaints and escalate cases in line with RG 271 and internal dispute resolution processes.
- Provide proactive support to clients and partners, ensuring service excellence.
Process & Compliance
- Maintain accurate records in the document management system in compliance with statutory and industry regulations.
- Support the implementation of best practices, policies, and procedures.
- Uphold internal privacy guidelines, confidentiality, and company values.
Team Contribution & Development
- Assist in training and mentoring junior team members in Manila.
- Participate in integration projects and operational improvement initiatives.
- Engage in professional development and maintain up-to-date technical insurance knowledge.
Skills & Competencies
Technical:
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with insurance broking systems (e.g., WinBEAT, Insight, or equivalent).
- Strong data entry accuracy and attention to detail.
Behavioural:
- Customer Service Orientation – anticipates and responds to client and broker needs.
- Communication – clear, professional written and verbal English; ability to adjust tone for Australian clients.

Qualifications & Experience
- Bachelor's degree preferred (Business Administration, Finance, Insurance, or related field).
- Minimum 2 years' experience in insurance, financial services, or shared services/BPO industry.
- Background in Australian insurance or financial accounts processing advantageous.
- Strong client service mindset with ability to manage stakeholders across geographies.
