Location: Philippines (Remote)

Shift: 7:00 AM to 4:00 PM

About this role…

We are seeking a highly organized and detail-oriented Broker Assistant to provide comprehensive administrative and client support to our brokers. This role plays a vital part in ensuring smooth day-to-day operations by managing communication, documentation, and transaction coordination. The ideal candidate is proactive, reliable, and capable of performing efficiently in a fast-paced environment.

Key Responsibilities:

1. Administrative Support

  • Provide essential administrative assistance to brokers, including managing phone calls, scheduling appointments, and maintaining organized client records.
  • Handle correspondence, meeting coordination, and other day-to-day administrative tasks.

2. Client Communication

  • Serve as a primary liaison between clients and brokers.
  • Handle routine inquiries, manage client communications, and ensure clients receive timely updates regarding their accounts and transactions.
  • Maintain a professional and responsive approach to enhance client satisfaction.

3. Documentation and Record Keeping

  • Prepare, process, and manage financial documents such as contracts, transaction records, and client identification.
  • Ensure all paperwork is completed accurately, compliant with regulations, and properly filed.

4. Data Entry & Finance Application Processing

  • Accurately complete data entry of finance applications through CRM systems and other internal platforms.
  • Ensure all submissions are processed promptly and in line with company standards.

5. Transaction Coordination

  • Coordinate various stages of client transactions, ensuring all required steps are followed and compliance standards are met.
  • Liaise with relevant internal and external parties to support smooth completion of deals.

6. Customer Service

  • Provide excellent customer service by addressing client concerns and offering prompt support.
  • Contribute to a positive client experience by maintaining professionalism and accuracy in all interactions.

Qualifications / Skills:

  • At least 3 years' experience in loan processing, ideally within the Australian market.
  • Proven ability to thrive in a fast-paced, high-pressure environment.
  • Strong multitasking abilities with minimal supervision.
  • Excellent written and verbal communication skills.
  • Strong problem-solving skills and ability to work independently.
  • Exceptional time management and organizational skills.
  • High level of attention to detail and accuracy.
