Role Overview
The Compliance Officer will ensure the agency remains compliant with New Jersey Division of Consumer Affairs (DCA) and NJ Department of Health regulations. This role involves monitoring licenses, regulations, and internal policies, conducting audits, and maintaining accurate documentation to support inspections, renewals, and quality assurance initiatives.
Key ResponsibilitiesRegulatory Compliance Oversight
- Monitor and maintain compliance with NJ DCA and NJ Department of Health regulations.
- Track expiration dates and renewals for licenses, business registrations, and insurance.
- Stay updated on state regulation changes and alert leadership as needed.
- Support leadership with inspection and audit preparation.
SOP, Policies & Procedures Management
- Develop, update, and distribute Standard Operating Procedures (SOPs) and company policies.
- Ensure all staff receive and acknowledge updated policies.
- Maintain digital compliance form templates and archival records.
File Audits & Documentation
- Conduct regular audits of caregiver, client, and service files.
- Ensure HIPAA-compliant storage of digital records.
- Organize documentation for quick and accurate audit retrieval.
Licensing & Training Tracking
- Maintain a compliance calendar for caregiver certifications, training, and medical tests (e.g., TB, CPR, CEUs).
- Track completion and schedule reminders for renewals and training.
Audit Preparation & Quality Assurance
- Prepare documentation for mock audits and inspections.
- Review incident logs and client feedback reports to identify risks.
- Recommend corrective actions for non-compliance issues.
Internal Training & Communication
- Distribute training bulletins on compliance topics.
- Ensure staff awareness of policy and SOP updates.
- Follow up on missing or incomplete documentation.
Systems & Software Support
- Use JetForm, Google Drive, and Trello for compliance tracking.
- Maintain dashboards to monitor compliance metrics.
- Organize digital files with clear labeling and categorization.
Special Compliance Areas (NJ-Specific)
- Track live-in caregiver documentation per NJ requirements.
- Monitor Electronic Visit Verification (EVV) compliance.
- Ensure adherence to wage and overtime regulations.
- Log incident reports and maintain infection control documentation.
Bonus Tasks (As Capacity Allows)
- Assist with onboarding file audits and licensing renewals.
- Prepare materials for client intake packets.
- Maintain compliance dashboards for leadership visibility.
Experience & Proficiency
- Excellent English communication skills (written and verbal).
- Experience in healthcare or home care compliance (NJ preferred).
- Familiarity with New Jersey home care laws and regulations.
- Strong organizational and documentation skills.
- Tech-savvy with experience using Google Workspace, JetForm, and Trello.
