Position Summary
The Legal Assistant is responsible for providing administrative, clerical, and operational support to the Legal Department. This role ensures the smooth flow of communication, proper management of legal files and records, coordination with external agencies, and assistance in day-to-day legal office functions.
Duties and Responsibilities
- Sort, distribute, and prepare incoming and outgoing mail, packages, and legal documents.
- Answer and redirect phone calls or take accurate messages.
- Coordinate and transact with government agencies, courts, quasi-judicial bodies, tribunals, and other relevant entities for legal-related requirements.
Records Management
- Maintain updated and organized files (both hard and electronic copies) for easy access.
- Monitor and request office supplies and materials when necessary.
Administrative Support
- Operate office equipment such as photocopiers, printers, and computers for word processing.
- Perform basic bookkeeping tasks including preparation of invoices, checks, and related documents.
- Take dictations and minutes of meetings accurately.
- Assist in office management procedures, ensuring efficiency and compliance.
- Support in travel arrangements, venue bookings, and preparation for legal conferences or events.
- Address issues and provide solutions related to the Legal Department's office functions and services.
Competencies
- Familiarity with office procedures and basic accounting principles.
- Proficient in MS Office and working knowledge of office devices.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Fast typing skills; knowledge of stenography and dictation is an advantage.
