Compliance Coordinator

The Compliance Coordinator is responsible for managing the entire lifecycle of compliance violations, from initial identification to final resolution. This role requires a detail-oriented individual who excels at process management, clear communication, and persistent follow-up to ensure all violations are addressed promptly and documented accurately. The coordinator serves as a key liaison between residents, property owners, and regulatory bodies.
Key Responsibilities- Violation Intake & Triage:
- Process and manage incoming violation tickets through the Zendesk platform for resident-related issues.
- Create and assign Service Requests in the Origin software for owner-related violations.
- Notification & Communication:
- Draft and send formal "Notices to Cure" and other compliance-related correspondence to residents.
- Conduct persistent and professional email follow-up with responsible parties to secure timely resolution and photographic proof of compliance.
- Tracking & Resolution:
- Meticulously track the status and completion of all active violations.
- Upon receipt and verification of photographic proof, send formal violation resolution emails to the appropriate Homeowners' Association (HOA) contacts or Code Enforcement officers.
- Accurately close out completed violation cases within the Zendesk system.
- Data Management & Reporting:
- Maintain and update the central Google Compliance Tracker, ensuring all data is current and accurate.
- Mark tickets as complete in the tracker and prepare regular status reports on compliance metrics as needed.
- Proven experience in an administrative, coordination, or compliance-focused role.
- Proficiency with ticketing systems and other business software.
- Strong competence with Google Workspace (Sheets, Docs, Gmail) or similar platforms.
- Exceptional written and verbal communication skills, with the ability to communicate professionally with residents, owners, and officials.
- Superior organizational skills and acute attention to detail.
- Ability to manage multiple tasks simultaneously and meet deadlines in a fast-paced environment.
- Self-motivated with a proactive approach to problem-solving and follow-up.
- Prior experience in property management, HOA administration, or a legal/paralegal environment.
- Familiarity with property management software
- Understanding of basic regulatory or code compliance principles.
