Scope of Work / Responsibilities

  • Administer, monitor, and update the database containing project documents and artifacts. Extract and generate data and other reports as required.
  • Analyze and validate various documents to ensure accuracy of input. Circulate and track signatures, distribute documents into various application systems, and maintain appropriate controls in data preparation.
  • Manage correspondence and documents for supervisors. Compose routine communications independently, review documents before supervisor approval, and ensure conformity with standards. Attend regular project meetings and prepare meeting notes.
  • Handle incoming queries and messages from internal and external parties, ensuring timely referral to the concerned staff. Collect, extract, and consolidate data or information in the required format for reports, schedules, and summaries.
  • Administer user access to project-related tools and systems by filing appropriate ITD requests, tracking progress, and informing requestors about established access rights.
  • Monitor and coordinate user requirements with various ITD sections, departments, and ITD resources.
  • Ensure effective coordination of supervisors' schedules, including global time zone management, calendar maintenance, and arrangement of appointments, meetings, travel, and accommodation in accordance with procedures. Prioritize and resolve scheduling conflicts.
  • Maintain a professional and organized office environment.
  • Provide coverage for other Information Technology Assistants during absences, as required.
  • Monitor and maintain adequate stocks of office supplies.
  • Perform other administrative tasks as may be assigned.

Requirements and Qualifications

Education, Work Experience, and Soft Skills:

  • College graduate.
  • Good typing, memo composition, and editing skills.
  • Demonstrated experience in working across multiple teams and organizing events.
  • Excellent administrative and organizational skills with strong attention to detail; capable of handling multiple responsibilities and confidential information simultaneously.
  • Ability to prepare memos and meeting notes accurately and promptly.
  • Client-oriented, with strong mediation and conflict-resolution skills.
  • Responsive to client inquiries, requests, and complaints.
  • Strong work ethic; a good team player who can collaborate effectively with individuals from diverse cultural and national backgrounds.
  • Highly engaged, motivated, and demonstrates a problem-solving mindset.
  • Proficient in computer technology and MS Office software packages (Word, Excel, PowerPoint, and database management).
  • Strong time management and communication skills.
  • Organized and detail-oriented in all aspects of work.

Job Type: Fixed term

Contract length: 12 months

Pay: Php25, Php35,000.00 per month
