Maintenance Administrator

Work Order & Request Management
- Receive, log, and process maintenance requests from tenants, staff, and property managers.
- Assign work orders to technicians or external contractors and track completion status.
- Ensure urgent requests are prioritized and resolved promptly.
Scheduling & Coordination
- Organize preventive maintenance schedules for all equipment and facilities.
- Coordinate inspections, servicing, and repairs with vendors and maintenance teams.
- Ensure minimal disruption to tenants and operations during maintenance work.
Documentation & Reporting
- Maintain accurate records of work orders, service reports, and repair histories.
- Update maintenance logs, equipment registers, and compliance checklists.
- Prepare periodic reports on maintenance activities, costs, and outstanding issues.
Communication & Support
- Act as the main point of contact for maintenance-related inquiries.
- Provide updates to tenants, management, and staff regarding repair schedules and progress.
- Professionally handle complaints or escalations.
Procurement & Inventory Management
- Source and purchase tools, spare parts, and maintenance supplies as required.
- Monitor and manage inventory levels to prevent shortages.
- Maintain vendor and contractor databases for efficient coordination.
Compliance & Safety
- Ensure all maintenance activities comply with safety standards, regulations, and company policies.
- Assist in organizing safety audits, fire drills, and compliance inspections.
- Promote a safe working environment by enforcing proper procedures.
Budget & Cost Control
- Assist in preparing the annual maintenance budget.
- Track expenses against budget allocations.
- Suggest cost-saving initiatives while maintaining quality service.
QUALIFICATION:
- Education: Diploma or Bachelor's degree in Business Administration, Property Management, Facilities Management, or related field (preferred).
- Experience: Minimum 3 years in maintenance administration, facilities coordination, or property management support.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Excel, Word, Outlook); knowledge of CMMS (Computerized Maintenance Management System) is an advantage.
- Excellent communication and interpersonal skills.
- Detail-oriented with strong problem-solving ability.
Other Requirements:
- Ability to work under pressure and manage multiple tasks.
- Knowledge of basic building systems (electrical, plumbing, HVAC) is a plus.
