The Admin & Liaison Assistant plays a pivotal role as an external liaison and administrative support, primarily responsible for interfacing with external entities and ensuring seamless coordination between the office and external partners.
RESPONSIBILITIES
Core Responsibilities: External Liaison and Administrative Support
Messengerial Services
Deliver and/or pick up documents and supplies between the office and other involved agencies.
- Securely deliver packages, documents, written and verbal messages, and other items promptly to their intended location or recipient.
- Plan the most cost effective and efficient delivery route and organize deliveries accordingly.
- Obtain required signatures and/or payments upon delivery.
- Maintain accurate records related to the receipt and delivery of packages, documents, messages, and other items, including tracking delivery times and parties involved.
Client Interaction and Collection
Act as the primary point of contact for client interactions and handle collections.
- In coordination with the Billing and Collection Department, ensure timely and efficient collection of documents or payments from clients.
- Assist and ensure successful bank transactions (deposits, payments, etc.).
Government Agency Coordination
Process and submit documents to various government agencies efficiently and accurately.
- Serve as a runner or messenger for document submissions, ensuring adherence to specific agency protocols and timelines.
- Perform errands in government offices, such as registrations and renewals at SSS, Philhealth, PagIbig, BIR, City Hall, SEC, etc.
Administrative Support Tasks
Assist in office administrative tasks when required, contributing to the overall efficiency of administrative operations.
- Provide administrative support to various departments.
Ancillary Responsibilities:
Maintenance Works
Attend office cleaning, disinfection, and pest control in the absence of the Internal Admin Executive.
- Handle minor maintenance tasks such as replacing busted lights, making minor repairs to signage, faucets, door locks, cabinet hinges, etc.
Support for Accounting Operations
Submit documents to government offices (e.g., BIR, SSS, HDMF, PHIC, City Hall, SEC etc.) in compliance with regulatory requirements.
- Handle the submission and retrieval of documents such as Billing Statements, Invoices, Official Receipts, maintaining client relationships.
PERFORMANCE MEASURES
- Proficiency in processing documents with various external partners and agencies.
- Demonstration of resourcefulness in handling diverse tasks.
- Consistent adherence to deadlines and timely completion of tasks.
- Effective communication skills with a keen focus on detail.
- Strong multitasking abilities coupled with excellent time management skills.
QUALIFICATIONS
- Ownership of a motorcycle with an active driver's license is preferred.
- Proficiency in reading comprehension for handling diverse requirements and compliance matters.
- Strong analytical and problem-solving skills.
- Positive attitude and eagerness to learn on the job.
- Quick learner with adaptability to new tasks and environments.
- Proficiency in basic spoken and written English
