We are seeking an experienced Executive Assistant to support the Managing Partner of a respected Australian accounting firm.
This is a senior EA role for someone who can operate as an extension of the Managing Partner — managing priorities, anticipating issues, and ensuring follow-through without needing close supervision.
The role also includes hands-on Xero bookkeeping and ATO tasks, so the Managing Partner can delegate operational work with confidence. This is not a production bookkeeping role, but bookkeeping competence is critical to success.
This role suits someone comfortable owning work end-to-end in a fast-moving Australian professional services environment.
Key ResponsibilitiesExecutive Assistant / PA Support
- Own and manage the Managing Partner's calendar, priorities, and follow-ups
- Coordinate meetings, deadlines, and daily execution proactively
- Manage email correspondence and ensure actions are tracked and completed
- Maintain clear visibility of tasks that are due, in progress, or blocked
Delegated Bookkeeping & Xero Oversight (Hands-On)
- Perform hands-on bookkeeping in Xero, personally responsible for accuracy and reconciliations, including:
- Accounts receivable and accounts payable
- Bank feeds and transaction allocation
- Recording payments (bank, card, cash)
- Bank reconciliations
- Identify discrepancies or missing information and resolve promptly
Managing Partner & Practice Operations Support
- Coordinate new client onboarding and system setup
- Prepare and manage client documentation and internal workflows
- Independently manage ABN and TFN applications and follow up ATO matters end-to-end
- Liaise professionally with Australian clients and internal accounting team members
- Support the smooth day-to-day operations of an Australian accounting practice
Communication & Accountability
This role will not suit someone who waits for instructions or requires tasks to be broken down step-by-step."
- Provide proactive status updates and realistic timelines
- Flag issues early and take ownership of tasks through to completionMaintain professional standards in all internal and client communications
Minimum Qualifications (Required)
Bookkeeping experience must be strong enough to ensure accuracy without supervision when tasks are delegated."
- At least 2 years' experience as an Executive Assistant or Personal Assistant supporting a senior leaderAt least 1 year of hands-on Xero bookkeeping experience for Australian clients, including:
- AR, AP, bank feeds, payments, and reconciliations
- Experience assisting with ABN and TFN applications and handling ATO correspondence
- Strong English communication skills (written and verbal), confident on calls
- Proven ability to work independently with minimal supervision
- Solid understanding of Australian accounting basics, including billing and GST concepts
- Willingness and ability to work Australian business hours
Applications without hands-on Xero bookkeeping experience for Australian clients will not be considered.
Preferred Qualifications (Highly Valued)
- Experience working in an Australian public practice accounting firm
- Hands-on experience using the ATO online portal
- Exposure to trust or SMSF administration (support level)
- Experience supporting Australian professional services clients
- Mailchimp or similar tools: bulk emails, newsletters, mail merges.
