Work Schedule: 9:00 AM – 6:00 PM EST (Night Shift, Philippine Time)

Salary: Depending on work experience and tenure


Job Summary:

We are looking for a highly organized and detail-oriented Virtual Assistant (VA) with a strong background in the Home Healthcare industry to provide direct administrative and operational support to a U.S.-based client.

Although this position is titled "Virtual Assistant," it is an onsite role based in Cebu City, requiring in-person work and coordination with the client and local team. The ideal candidate has at least 3 years of experience in home healthcare administration, understands patient coordination and caregiver scheduling, and can manage day-to-day operations efficiently and professionally.


Key Responsibilities:

Administrative & Office Support

  • Manage and organize the client's calendar, meetings, and appointments.
  • Prepare and maintain patient and caregiver records, reports, and documentation.
  • Perform data entry, filing, and record management tasks accurately and confidentially.
  • Draft and format documents, reports, and correspondence.
  • Ensure compliance with healthcare documentation and privacy standards (e.g., HIPAA).

Home Healthcare Coordination

  • Coordinate schedules for caregivers, nurses, and therapists for home visits.
  • Communicate with patients, families, and staff to confirm appointments and updates.
  • Monitor care logs, timesheets, and visit reports to ensure accuracy.
  • Assist in resolving scheduling conflicts and maintaining an organized workflow.

Client Communication & Support

  • Respond to emails, messages, and phone calls on behalf of the client in a professional manner.
  • Serve as a liaison between the client, healthcare staff, and third-party partners.
  • Prepare daily or weekly summaries, updates, and reports for the client.
  • Maintain professionalism and empathy when dealing with patients or families.

Operational & Administrative Assistance

  • Support billing, payroll, and timesheet tracking as required.
  • Maintain organized digital and physical records.
  • Conduct research or handle administrative projects related to healthcare operations.
  • Monitor task deadlines and follow up to ensure timely completion.

Confidentiality & Compliance

  • Handle all sensitive information with discretion and integrity.
  • Ensure all actions comply with healthcare privacy laws and organizational standards.

Qualifications:

Education:

  • Bachelor's degree in Healthcare Administration, Nursing, Business Administration, or a related field (preferred but not required).

Experience:

  • Minimum of 3 years of experience as a Virtual Assistant, Administrative Assistant, or Coordinator in a Home Healthcare, Medical, or Clinical setting.
  • Strong background in caregiver scheduling, patient management, and healthcare documentation is required.

Skills:

  • Excellent written and verbal communication skills (English proficiency required).
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office, Google Workspace, and healthcare management software (e.g., AlayaCare, ClearCare, HomeCare HomeBase, or similar).
  • Familiarity with HIPAA or similar healthcare privacy standards.
  • High attention to detail and ability to work independently.
  • Professional, reliable, and comfortable working with a U.S.-based client.
