JOB POSITION: Business Development & Pipeline Support Coordinator

LOCATION: DAVAO CITY (ONSITE WORK)

Role Overview: Our client, a boutique real estate finance and investment firm, is expanding its business development efforts and seeking an organized, tech-savvy Business Development & Pipeline Support Coordinator. This role will support the firm's partners by managing scheduling, researching leads, maintaining CRM/pipeline data, coordinating outreach efforts, and improving overall business development efficiency.

This is a dynamic position suited for someone who thrives in fast-moving, entrepreneurial environments and can juggle multiple responsibilities with precision.

Key Responsibilities

Business Development Coordination

•  Assist partners with managing calendars, coordinating calls, and scheduling business development meetings.

•  Track all incoming and outgoing communication with prospective clients, lenders, brokers, and bidders.

•  Help prepare meeting agendas, follow-up notes, and action items.

Lead Research & Database Management

•  Search through databases, industry platforms, and public sources to identify and qualify new leads.

•  Organize and categorize leads based on criteria provided by the client.

•  Maintain up-to-date contact lists and clean CRM or Excel-based pipelines.

Bidder & Deal Pipeline Tracking

•  Monitor the firm's bidder pipeline and update deal statuses in real-time.

•  Enter data into spreadsheets, CRMs, or internal tools to maintain an accurate overview of active opportunities.

•  Prepare weekly pipeline summaries for the partners.

Operational Support

•  Assist with light project management tasks related to business development.

•  Support email outreach coordination (not sales calling) by organizing drafts, templates, and follow-ups.

•  Handle administrative tasks related to the firm's BD and deal-tracking workflows.

Technology & Tools

•  Use AI tools (HenryAI, ChatGPT, etc.) to streamline repetitive tasks such as summarizing outreach notes or drafting standard communications.

•  Learn new platforms and tools as required by the client's evolving tech stack.

Required Qualifications

•  2+ years of experience in business development support, administrative coordination, research, or a similar role.

•  Strong research abilities and comfort navigating online databases and Excel/Google Sheets.

•  Excellent written and verbal English communication skills.

•  Highly organized, reliable, and able to manage multiple tasks simultaneously.

•  Ability to work independently and communicate clearly with U.S.-based partners.

•  Strong attention to detail and data accuracy.

•  Tech-savvy, with the ability to adopt new technologies quickly.

Preferred Qualifications  
•  Experience supporting real estate, finance, private equity, or lending teams.

•  Experience with CRM platforms (HubSpot, Salesforce, Pipedrive, or similar).

•  Familiarity with business development workflows and pipeline management.

•  Experience coordinating schedules across multiple executives or teams.

•  Well-organized calendars and smooth scheduling logistics.

•  Partners report improved clarity and efficiency on all BD tasks.

•  Proactive identification of leads and opportunities.
