About the Role:

The team is seeking an experienced Patient & Clinic Support Coordinator based in the Philippines to provide remote administrative and communication support. You will be instrumental in maintaining smooth day-to-day clinic operations, assisting over 5,000 active patients and supporting a team of 9+ Australian doctors.

This role involves scheduling, billing, record management, and patient support, ensuring patients experience seamless care from booking through to post-consultation.


Key Responsibilities:

  • Manage calls, SMS, and emails via Dialpad, Gmail, WhatsApp, and Xestro.
  • Book, reschedule, and manage appointments using Xestro and Health Engine.
  • Ensure all patient documentation and records are accurate, updated, and compliant.
  • Track and follow up on intake forms, consent documents, payments, and referrals.
  • Handle billing reconciliation, follow up on payments, and support Medicare rebate processing.
  • Coordinate with doctors to ensure consultations are fully supported and properly documented.
  • Escalate urgent issues appropriately and handle sensitive matters with empathy.
  • Provide administrative support across multiple digital communication platforms.

Experience Required:

  • At least 2 years' experience in healthcare or clinic administration (telehealth or Australian experience preferred).
  • Strong background in multichannel communication and patient support.
  • Previous support for medical practitioners or clinical teams, especially in virtual environments.

Skills & Knowledge:

  • Proficiency in tools like Xestro, Dialpad, Gmail, and Microsoft Office.
  • Understanding of Australian healthcare operations, including Medicare and IHI processes.
  • High attention to detail in data entry, recordkeeping, and billing.
