Job Overview

We are seeking a detail-oriented, reliable, and confident Administrative Virtual Assistant (Admin VA) to support a range of business operations. The ideal candidate will be a tech-savvy, organized, and proactive team member who can learn quickly, manage systems independently, and represent the business with professionalism, especially with older clients and prospects.

Core Responsibilities

Administrative Support

  • Calendar and inbox management

  • Scheduling meetings and calls

  • Document and note organization (Notion, Google Drive)

  • Light customer service (responding to inquiries, directing messages)

  • Data entry and list management (CRM, spreadsheets)

CRM + Business Tools

  • Manage and maintain records in Freshsales Suite (or willing to learn quickly)

  • Keep Google Business profile updated (posts, customer reviews, Q&A)

  • Organize resources and client data in Notion

  • Assist with citations and research materials using Zotero

  • Coordinate communication via Slack

Marketing Support

  • Execute ad campaigns with guidance (copy/design provided or approved by employer)

  • Platforms: Facebook, Google Ads, Google My Business

  • Help launch and track customer rating campaigns

  • Set up and monitor Google Analytics dashboards

  • Optional: assist in other social channel engagement (e.g., Instagram, LinkedIn)

Research + Analytics

  • Assist in both qualitative and quantitative research projects

  • Support tasks such as:

  • Survey design and analysis

  • Customer journey mapping and behavioral analytics

  • Experimental design support

  • Note-taking and coding for qualitative interviews

Frontline Communications

  • Serve as a first-touch point for client and prospect communication

  • Warm, articulate communication—especially with older clients (Utah, 70s+)

  • Screen inquiries and qualify leads

  • Follow up with potential clients as directed

  • Steady, conscientious, and proactive—not afraid to speak up, clarify tasks, or take initiative

  • Comfortable learning new platforms and workflows independently

  • Strong English communication skills, with a calm and personable tone

  • Willing to grow into new responsibilities, ask questions, and learn through doing

  • Prefer experience with:

  • Google Workspace

  • CRM tools

  • Social media campaign tools

  • Research/analytics tools (or eagerness to learn)
