Job Description
- Answering telephone queries of client and prospective clients or directing inquiries to the lawyers assigned;
- Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, graphics; coordinating case preparation;
- Conserving attorney's time by reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, and other special functions; coordinating preparation of charts, graphs, and other courtroom visuals; preparing expense reports;
- Maintaining attorney's calendar and schedule by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; monitoring requests for documents;
- Representing the attorneys by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney;
- Maintaining client confidence by keeping client/attorney information confidential;
- Providing historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; maintaining transcripts; documenting and maintaining evidence;
- Organizing and managing all case records and documents and generating digital folder for each client record;
- Retrieving necessary appropriate records and reports;
- Maintaining databases appropriate to the various records, reports and documents, including engagement agreement of clients;
- Monitoring and keeping the records safe secure in a proper place;
- Administrative support for filings such as filings with the Intellectual Property Office, Bureau of Immigration, Bureau of Internal Revenue, the SEC, and the local government.
- Enhancing department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Working Hours: 9AM - 6PM
