Profile Requirements:

  • Demonstrated experience in a high-level administrative, coordination, or support role.
    Experience in medical and law practice is ideal
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), with strong document formatting and presentation skills.
  • Competence in managing multiple social media platforms (LinkedIn, Facebook, Instagram, YouTube), including profile setup, scheduling, branding, and reporting.
  • Strong organisational and time-management skills; able to manage competing priorities and maintain accuracy under pressure.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to maintain the highest levels of confidentiality, discretion, and professionalism.
  • Proactive, resourceful, and comfortable working independently while being an integrated member of a virtual team.
  • Prior exposure to CRM or finance systems (e.g. Xero) preferred but not essential.
  • Familiarity with WordPress or LMS systems is an advantage, but not essential.
  • Basic graphic capability (e.g., Canva) for tasks such as creating certificates etc.

Core responsibilities:

  • Core Responsibilities
  • Executive Support: Manage Director's diary, priorities, tasks, deadlines, and correspondence.
  • CRM Management: Create/update matters, maintain data, log WIP, and manage client documents.
  • Finance & Payroll: Track invoices, client responses, and payroll timesheets for Director approval.
  • Compliance: Monitor licences, returns, and deadlines; collect documents; draft forms.
  • Documentation: Collate, format, and dispatch reports with consistent presentation.
  • Consultant Support: Set up jobs in CRM, provide templates/materials, track progress, and report status.
  • Confidential Comms: Handle supplier, staff, and external correspondence on Director's behalf.
  • Social Media & Marketing
  • Manage and update company social channels (LinkedIn, Facebook, Instagram, YouTube).
  • Ensure consistent branding across platforms.
  • Schedule/post content, track engagement, and prepare activity reports.
  • Monitor industry/regulatory news and suggest content ideas.
  • Support Training Director with course collateral (flyers, certificates, resources, feedback).
  • Identify cost-effective marketing opportunities and draft recommendations.
  • Projects (as directed/when time permits)
  • Support rebrand and update company materials.
  • Draft policies/procedures from templates or notes.
  • Document workflows and create staff guides.
  • Assist in tenders: set up, draft, coordinate, and submit.
  • Research expos, hosting, domains, and present recommendations.
  • Nice to Have (non-essential skills)
  • Basic LMS: upload modules, format quizzes, check consistency.
  • Website (WordPress/Divi): update text, posts, forms; coordinate advanced updates.
  • Microsoft 365 basics: password resets, email footers, MFA monitoring.
  • Basic monthly marketing reports: course numbers, engagement, and reach
