We're seeking an Admin Vendor Support VA to join our growing team.

What You'll Do:

Email & Message Management

  • Email Management – follow NBC policies for email inbox organization and handling (includes answering instructor questions, acting on urgent issues).
  • Check Text and Voicemail for urgent instructor messages.
  • Instructor Assignments: Check Email, Text, and Voicemail for urgent instructor messages.
  • Reply to all texts, voicemails, emails that have not been addressed that day.
  • Make any necessary "after hours" calls to instructors.

Instructor Confirmations

  • Check for Confirmation notes in Enrollware.
  • Use Dial My Calls to send texts to instructors who are assigned to a class within 5 days.
  • Call and email if they've not been confirmed by Day 3.
  • Instructors should have notes in the internal notes and/or comments section.
  • Follow up on NO Instructor classes & Confirmations.

Class Coverage & Scheduling

  • No Instructor Classes: Review upcoming class schedules DAILY to identify instructor needs.
  • Checking daily for No Instructor classes.
  • Texting & Calling instructors in that area (expand if necessary; allow 2 hours before following up, follow up multiple times per day).
  • High Enrollment: Send identified high enrollment classes out to instructors via text (expand if necessary; allow 2 hours before following up, follow up multiple times per day).

Daily Tasks & Planning

  • Daily Meeting.
  • Next Day Planning – Open tasks and urgent responses to look for in the morning.

End of Day (EOD)

  • EOD report.
  • Brief summary of the day.
  • Classes filled.
  • Classes unassigned (instructor cancellation).
  • Open Task Summary.

Other Responsibilities

  • Process Certificates.
  • Follow-up: Unassigned Classes.
  • Instructor communications (weekly email).

What We're Looking For (Required Skills/Experience):

  • Ability to identify and resolve critical operational gaps and "red-flag" issues before routine tasks.
  • Proficiency in managing rapid, multi-channel outreach (phone, text, email) with persistent follow-up.
  • Skill in monitoring strict schedules and deadlines to ensure all resources are confirmed and in place.
  • Capability to maintain precise documentation and synthesize daily data into concise status reports.
  • Ability to anticipate resource needs and independently expand search efforts to prevent service failures.
