Job Description:
3.1 Work With and Work Review of Supervisor with Salesmen and Sales Team
- Branch Supervisor (BS) to work with all salesmen team at least once a month. Work With is define as having the BS joining the sales team during their route and coaching them the proper way of our sales in call mission.
- Work Review of all sales team route and account verification should also be conducted every month. Work Review is define as having the BS independently review the work result of his direct reports. During every work review, BS should include sampling verification of salesmen's AR and other transactions such as deals given audit, invoice pricing, product availability and visibility, bad debts confirmation, competitor activities and others that may merit the company's interest.
3.2 Market Survey and Competitor's Activity (end user included)
- Awareness of the market condition is important to our business considering the vast scope of our product, it is therefore necessary for the BS to conduct periodic market survey of their assigned area that includes competitor's activity. BS should include end users in their survey, do product sampling and offer our product for sales opportunity.
3.3 KPIs – Volume, Distribution and Pricing
- BS to work on how to achieve their volume target, ensure good distribution and availability of our product. BS should always check the selling price of our product on the trade. BS should manage his team efficiently to maximize the trade coverage of his assigned territory.
3.4 Sales Collection Efficiency
- BS shall have a weekly monitoring of all his direct report's salesmen collection efficiency and ensure that salesmen made all possible means to collect inactive or overdue accounts prior to declaring it as bad debts. Management defines the collection efficiency target of each branch office.
3.5 Audit of Salesmen, Relieving and Take Over of Route
Mandatory audit of all salesman should be conducted by the BS that should include actual inventory count and verification of AR accounts. This should be done within every quarter period.
Relieving the salesman might be necessary when a probable cause has been found that needs the BS to take over the route to ensure proper full audit of the subject salesman's accountabilities.
Management reserves the right to randomly choose any salesman for relieving as part of the company audit policy of their account.
Take Over of route may also be done by the BS when the salesman files for vacation leave, sick leave and other circumstances that prevents the salesman from performing his function including forced leave audit.
for forced leave audit of salesman, the salesman is required to report to the office if he did not file for any leave of absence and is entitled to a single meal allowance only. It is assumed that the forced relieved salesman will receive half of his daily overriding commission based on the report from the relieving salesman or supervisor taking his route. The latter daily overriding commission does not apply when the relieved salesman files for a voluntary leave of absence, in which case the relieving salesman or supervisor becomes entitled to receive the commission unless otherwise defined by management as forfeited.
3.6 Audit of Warehouse and sub-Warehouse, Treasury
Periodic mandatory and random warehouse stock inventory count audit should be conducted with authority from the Branch Manager. The mandatory audit should be done every end of each month while the random audit should be done several times at the discretion of the Branch management in a month. The stock inventory count include good stock, damaged stock and advertising materials when required that are found at Branch Main Warehouse, Sub-warehouse and jobber warehouse.
At the order of the Branch Manager when necessary, the branch supervisor shall also assist in the audit of the Branch Treasury by conducting the actual cash count, actual check on hand accounting, bank balance validation if needed and ledger record verification.
3.7 Approval Authority (Route, operational expenses, SL VL, fleet, Good and BO Stock)
- Branch Supervisor shall have the delegated approval authority extended by the Branch Manager to approve route alignment, salesman territory assignment, operational expenses, Sick leave, Vacation leave, Fleet repair and management, Good Stock withdrawal, Damaged Stock return, sampling allocations and others as directed by the Branch Manager.
3.8 Issuance of NTE, NOD for Direct Reports
- for case incidents such as company policy violations involving the sales team and branch back office staff that may require inquiries and investigation, the Branch Sales Supervisor with management authority are required to issue a Notice to Explain (NTE) memo to the party or parties involved as necessary. This shall be in coordination with company HR for proper guidance. Clarificatory conference might be conducted thereafter as defined by the labor code. And with top management approval, a Notice of Decision (NOD) memo will be issued to the party or parties involved as closure of all cases.
