Overview
We are seeking a Senior Executive & Marketing Operations Assistant to support both business operations and marketing for a growing real estate investment and brokerage firm. This role blends executive support, marketing coordination, and light transaction administration, making it ideal for someone who is organized, reliable, and comfortable balancing multiple priorities.
You'll manage calendar and communications, keep marketing and investor-facing materials consistent, and help streamline operations through basic CRM upkeep and transaction coordination. The founder is highly engaged with clients, investors, and multiple ongoing projects, so reliability, proactive communication, and attention to detail are essential.
Key Responsibilities
Executive Support & Communication
- Manage calendars, appointments, and scheduling with precision
- Draft, edit, and send professional emails and investor/client communications
- Prepare and maintain contracts, checklists, and documentation for transactions
- Track LP/prospect/investor paperwork, ensuring accuracy and organization
- Provide end-of-day (EOD) summaries and follow-ups
- Assist with travel arrangements and conference scheduling as needed
- Review call transcripts, create clear action points, and follow up to ensure tasks are completed
Marketing & Branding Support
- Create and schedule content for LinkedIn, Facebook, and other social media channels
- Prepare listing information, investor presentations, and related materials
- Design graphics and marketing materials (presentations, flyers, investor reports) in Canva/Adobe
- Assist with email campaigns and newsletters, ensuring professional formatting
- Maintain brand consistency across all materials and investor communications
Operations & Admin Support
- Keep CRM (HighLevel) up-to-date with accurate records and follow-ups
- Maintain transaction trackers and ensure key milestones are documented and communicated
- Organize files and maintain accessible records of contracts, reports, and investor materials
- Build and maintain checklists, workflows, and SOPs in Notion/ClickUp to improve efficiency and consistency
- Run Comparative Market Analyses (CMAs) and prepare property comparison reports
Required Qualifications
- 3+ years supporting U.S.-based executives, ideally in real estate, investment, or professional services
- Strong written and spoken English; proven ability to polish client- and investor-facing communications
- Proficiency in Canva (Adobe Suite a plus)
- Highly organized and dependable, with excellent follow-through
- Comfortable with tools like HighLevel CRM, Google Workspace, and project/task trackers (Notion/ClickUp)
- Ability to work reliably during U.S. Central Time business hours
Nice-to-Have (Bonus Skills)
- Experience with real estate transaction coordination, contracts, or investor reporting
- Familiarity with financial modeling or market analysis (Excel/Google Sheets)
- Comfort building dashboards, reports, or more advanced process documentation in Notion/ClickUp
- Experience drafting or editing leases, agreements, or investor-facing documents
- Growth-oriented mindset with interest in expanding into strategic/analytical responsibilities over time

Pay: Php63, Php77,000.00 per month
