ROLE SUMMARY
Our client is seeking an Executive Assistant to support their operations team by handling a variety of administrative and operational tasks. The ideal candidate will provide essential support in managing internal records, scheduling, and client conflict resolution. Your role will be crucial in maintaining operational efficiency and ensuring effective communication within the team.
WORK SCHEDULE: 9:00 AM – 6:00 PM Eastern Daylight Time (9:00 PM – 6:00 AM Philippine Standard Time), follows Philippine holidays
POSITION TYPE: Full Time
WORK ARRANGEMENT: Remote
ESSENTIAL FUNCTIONS:
- Perform the following operations support tasks:
- Provide comprehensive support to the operations team, including administrative assistance, coordination of tasks, and ensuring smooth day-to-day operations
- Assist with implementing and improving operational processes and workflows
- Conduct internal records review with the following tasks:
- Conduct regular reviews of internal records to ensure accuracy, completeness, and compliance with company policies and legal requirements
- Assist in organizing and maintaining documentation for easy access and retrieval
- Perform the following training scheduling tasks:
- Coordinate and schedule training sessions for staff members
- Ensure that training programs are well-organized, communicated effectively, and that all necessary resources and materials are prepared
- Perform the following fortnight scheduling and reporting tasks:
- Manage and prepare fortnightly schedules and reports, including tracking progress on key initiatives and summarizing operational activities
- Provide insights and updates to support decision-making and operational planning
- Conduct client conflict resolution tracking with the following tasks:
- Track and manage client conflict resolution efforts, including recording issues, monitoring resolution progress, and ensuring that conflicts are resolved in a timely and effective manner
- Assist in maintaining records of client interactions and outcomes
QUALIFICATIONS:
- Associate's degree in Business Administration, Legal Studies, or a related field is preferred but not required
- Minimum of 2 years of experience in a legal or administrative support role
- Experience in operations support, record management, or client service is a plus
- Relevant certifications in administrative support or legal assistance are a plus
- Proficiency in office software (e.g., MS Office, Google Workspace)
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to handle confidential information with discretion.
- Detail-oriented with strong problem-solving abilities
