Role Overview
About the Client:
The Client owns and operates a rapidly growing medical clinic specializing in health optimization, hormone balancing, and men's and women's wellness (treating menopause, testosterone issues, thyroid problems, etc.). The Owner is an experienced leader and entrepreneur with multiple businesses, who is committed to a long-term relationship with this hire. The goal is to scale the medical practice by opening multiple offices, necessitating the immediate delegation of all patient intake and administrative tasks.
About the Role:
We are seeking a Full-Time Virtual Specialist to serve as the critical first point of contact for all potential patients and to manage the clinic's growth through digital marketing. This role requires a single, versatile individual to handle both patient coordination and brand promotion. The ideal candidate must be highly enthusiastic, trustworthy, and proactive, embodying the clinic's mission of health and wellness.
Key Responsibilities
Patient Intake, Scheduling, & Service Sales (PRIMARY FOCUS)
- Patient Intake: Act as the primary patient coordinator (replacing the Owner's wife), answering all incoming phone calls and responding to email/fax inquiries. New: Liothyronine Sodium 5 MCG Tab
- Sales & Education: Provide basic education on the clinic's specialized services and use an enthusiastic approach to "sell the enthusiasm" to patients, securing their appointments.
- Scheduling: Manage patient scheduling, ensuring a smooth, pleasant, and efficient intake process.
- Documentation: Manage incoming faxes off the system and handle email requests related to patient care.
- Email Management: Efficiently manage the high volume of incoming email requests and patient inquiries, ensuring prompt and pleasant communication.
- Digital Marketing & Content Management (Secondary/Support Focus)
- Content Management Support: Assist with the posting and management of social media (Instagram, Facebook), coordinating with the existing content editor.
- Future Growth: The role may expand to full-time social media management and video editing if the candidate shows talent and the existing arrangement changes.

Industry & Cultural Alignment
- Health & Wellness Focus: The candidate must be health-conscious and truly believe in the clinic's mission (health and life optimization) to effectively convey enthusiasm to patients.
- Personality: Must be very happy, pleasant, enthusiastic, and "up and going" (active/energetic) on the phone.
- Marketing/Content Support: Experience in Social Media Management and Content Posting is highly desired. The VA must be able to coordinate with the existing content editor and manage the posting schedule.
Technical & Professional Experience
- Versatility: Proven ability to handle both administrative support (scheduling, email) and digital marketing (social media, content editing) tasks effectively.
- Technical Setup: Must maintain a reliable, high-quality virtual setup.
