The Assistant Manager is responsible for providing support in overseeing the real estate portfolio and ensuring efficient operations. They assist in managing property activities, coordinating tenant relationships and ensuring compliance with relevant regulations. The role requires strong organizational skills, attention to detail, and the ability to effectively communicate and collaborate with various stakeholders.

QUALIFICATIONS:

Education/Knowledge

  • Graduate of a 4-year college degree
  • Intermediate Project Management skills
  • Basic Management skills - POLC, SMART Goals

Experience:

  • At least 3-years experience in a related industry of notable size
  • At least 2-years experience as project team leader responsible for managing team members' contribution, assigning work and delivering required outcomes

JOB RESPONSIBILITIES:

  • Property Operations Support: 

      - Responsible for theday-to-day operations of the real estate portfolio. 

      - Coordinate property maintenance, repairs, and renovations. 

      - Monitor property expenses and implement cost-saving measures. 

      - Ensure properties comply with safety and building codes. 
  • Advertise vacant properties to attract potential tenants
  • Tenant Relations: 

      - Act as a primary point of contact for tenants, addressing their concerns and inquiries. 

      - Assist in tenant onboarding and lease administration. 

      - Coordinate lease renewals including negotiation of escalation rates, rent collections, and invoicing. 

      - Conduct regular property inspections to ensure tenant compliance. 

    Handles termination and evictions if necessary.
  • Conducts tenant screening through background checking
  • Administrative Support: 

      - Maintain accurate records and documentation of property transactions, leases, and contracts. 

      - Assist in preparing property budgets and financial reports. 

      - Coordinate and schedule property-related meetings and appointments. 

      - Assist in coordinating property insurance, licenses, and permits.
  • Vendor Management: 

      - Assist in sourcing and managing vendor relationships for property maintenance and repairs. 

      - Obtain and review vendor proposals, negotiate contracts, and ensure timely completion of work. 

      - Maintain vendor contracts, invoices, and records.
  • Compliance and Legal: 

      - Stay updated on relevant real estate laws, regulations, and industry standards. 

      - Assist in ensuring properties adhere to zoning, safety, and environmental regulations. 

      - Assist in managing property insurance, licenses, and permits.
  • Reporting and Communication: 

      - Assist in preparing regular reports on property performance, occupancy rates, and financials. 

      - Communicate effectively with property owners, tenants, and internal stakeholders. 

      - Provide updates and presentations to the property manager and senior management.
