The Sales Administrative Associate provides vital support to the sales team by ensuring the timely preparation, submission, and organization of all sales-related documents and records. This role requires attention to detail, strong organizational skills, and the ability to coordinate effectively with internal teams, suppliers, and external partners.

Key Responsibilities

  • Provide administrative and operational support to the sales team.
  • Manage and maintain all pre- and post-bid documentation.
  • Prepare and organize bid documents in compliance with client and project requirements.
  • Compile, review, and submit post-qualification requirements for bids.
  • Monitor new opportunities in PhilGEPS and download relevant bid documents.
  • Request and consolidate quotations from suppliers.
  • Maintain and regularly update databases of customers, suppliers, and partners.
  • Track, record, and update the database of on ongoing and completed projects.
  • Assist in the preparation of sales reports, presentations, and other required documentation.
  • Coordinate with internal teams and external stakeholders to gather necessary documents and information.
  • Ensure proper filing, safekeeping, and confidentiality of all sales-related documents.

Minimum Qualifications

  • Bachelor's degree in Business Administration, Marketing, Management, or any related field (or equivalent work experience).
  • Strong organizational and administrative skills with attention to detail.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and familiarity with CRM systems or sales tools.
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Strong interpersonal skills with the ability to work collaboratively across teams.
