Job Summary:

The Sales Operations Specialist – Admin plays a key administrative and coordination role in managing distributor contracts, accreditation processes, payout validations, and general sales support. This position ensures timely and accurate execution of contract management, payout processing, and other administrative tasks in close collaboration with Sales Managers, Legal, Finance, and Administrative teams.


Key Responsibilities:

1. Distributor Contract Management & Accreditation

  • Manage the end-to-end contract process from distributor accreditation to contract notarization.
  • Maintain and update the contract monitoring database (Excel) for tracking distributor status.
  • Coordinate with Sales Managers on:

  • Pre-qualification requirements and D&B endorsement

  • Accreditation documents and status updates
  • Prepare and route endorsement letters and contracts for signatures and monitor their status.
  • Liaise with the Legal team for notarization of contracts.
  • Distribute signed and notarized contracts to distributors and maintain secure safekeeping.

2. Payout Processing & Monitoring

  • Validate distributor payouts and prepare Request for Payment (RFP) documents.
  • Route RFPs for approval and create IAS entries as needed.
  • Prepare transmittal documents and submit to Finance.
  • Coordinate with Sales and Finance to resolve any incomplete or missing payout requirements.
  • Notify Distributors with pending check releases and coordinate issuance or deposit of checks.
  • Update and maintain the payout monitoring file (Excel).
  • Send periodic payout updates to Sales Head & SOG Head.

3. Administrative Support

  • Handle the printing, routing, and coordination of Authority to Travel (ATT) documents.
  • Assist with sales reimbursements, liquidations, and routing.
  • Manage requests for office supplies and coordinate administrative concerns.
  • Support in the creation of IO, LNMR, and MR, as required. (Note: Access pending)
  • Perform other ad-hoc administrative tasks as assigned.

Qualifications:
  • Bachelor's degree in Business Administration, Management, or related field
  • Proven experience in sales operations or administrative support roles
  • Proficient in Microsoft Excel and document routing systems
  • Strong coordination, communication, and follow-up skills
  • Attention to detail and ability to manage multiple priorities simultaneously
  • Familiarity with contract and payout processes is an advantage
