Job Description

As a Virtual Assistant Standard Operating Procedure, you will support a prop trading business through trade data tracking, execution oversight, financial dashboard management, and administrative coordination. This role demands precision, consistency, and reliability in a fast-paced, data-driven environment.

Employment type: Full-time

Shift: Night Shift, Sunday 5 PM EST - Friday 1 AM EST

The Qualifications We Seek

  • At least 3 years of experience working with MetaTrader 5 (MT5)
  • Strong proficiency in Microsoft Excel or Google Sheets
  • Familiarity with AI automation tools or workflow systems
  • Coding experience related to trading algorithm development or system integration

Training Provided:

  • Trade tracking & tagging methodology
  • Strategy evaluation framework
  • EA setup & monitoring protocol
  • Prop firm account creation and KYC navigation

Success Metrics:

  • Daily accuracy of trade records and execution logs
  • Timely setup and confirmation of strategies by 5 PM ET daily
  • Capital scale across identities and firms tracked cleanly
  • Regular insight reports delivered weekly
  • Clear communication and escalation of issues

Your Daily Tasks

Trade Tracking & Data Management

  • Create and maintain trade tracking systems in Google Sheets, Notion, or analytics tools like TradeZella.
  • Track live trade data (entry/exit time, price, profit/loss, spread, strategy tag, session, time of day).
  • Maintain summary statistics per strategy and per pair.

Business Financial Dashboard Creation

  • Build and update a master financial dashboard for prop firm accounts, payouts, and profits.
  • Deliver concise, visual daily reports at rollover (5 PM ET).

Trade Execution Oversight

  • Monitor strategies at Forex rollover daily.
  • Ensure EAs are active and trades copy correctly to prop accounts.
  • Troubleshoot and escalate trade execution issues immediately.

Backtesting Support

  • Organize and log backtest results by pair and strategy.
  • Record metrics (win rate, profit factor, drawdown, expectancy).
  • Tag strategies for live testing consideration.

Prop Firm Challenge Setup (Using Your Identity)

  • Complete KYC and participate in prop firm challenges.
  • Track status of challenges and payouts.

Ongoing Administrative Duties

  • Maintain login credentials securely.
  • Follow up on prop firm payouts and support issues.
  • Keep records audit-ready and updated.
  • Join weekly check-ins for updates and planning.

Communication Preferences & Tools

  • Daily communication will occur primarily via Discord direct messages.
  • All official reports (e.g., 5 PM daily summaries) must be emailed and archived in a dedicated Gmail-based report database.
