Job Summary
The Purchasing Officer is responsible for sourcing, evaluating, and procuring supplies, ingredients, and equipment for both Japonesa (Japanese-Peruvian fusion restaurant) and Alamat (Filipino cuisine pub). This role ensures that all purchasing activities are carried out efficiently, cost-effectively, and in compliance with company standards. The Purchasing Officer will coordinate closely with the culinary, operations, and accounting teams to maintain consistent inventory levels, ensure product quality, and support the smooth operation of both outlets.
Key Responsibilities
- Source, negotiate, and purchase ingredients, beverages, equipment, and other restaurant supplies for both Japonesa and Alamat.
- Develop and maintain strong relationships with suppliers and vendors to ensure quality, reliability, and favorable pricing.
- Evaluate supplier performance regularly, ensuring compliance with quality, delivery, and pricing agreements.
- Coordinate with the Head Chef, R&D Chef, and Restaurant Managers to identify purchasing needs and specifications.
- Monitor stock levels and work with inventory personnel to prevent shortages or overstocking.
- Review purchase requests, verify accuracy, and ensure proper approval and documentation.
- Track and manage purchase orders, delivery schedules, and invoices to ensure timely receipt of goods.
- Conduct price comparisons and market research to identify cost-saving opportunities.
- Ensure all purchases comply with company policies, budget limits, and food safety standards.
- Maintain an organized database of suppliers, product lists, and purchasing records.
- Work closely with the Accounting Department to reconcile deliveries and payments.
- Coordinate logistics and deliveries between suppliers and restaurant branches.
- Handle returns, replacements, and quality complaints with vendors as needed.
- Prepare and submit regular purchasing and cost reports to management.
- Stay updated on new products, market trends, and seasonal ingredient availability.
- Support planning for special events, menu launches, or promotional campaigns requiring special procurement.
Qualifications
- Proven experience as a Purchasing Officer, Procurement Assistant, or similar role in the F&B or hospitality industry.
- Strong negotiation and communication skills with attention to detail.
- Knowledge of inventory management, purchasing systems, and vendor relations.
- Ability to analyze costs, pricing, and market trends to ensure efficient procurement.
- Highly organized and able to manage multiple purchase requests simultaneously.
- Proficient in Microsoft Office (Excel, Word) and/or inventory management software.
- Strong sense of integrity, accountability, and confidentiality.
- Ability to work collaboratively across departments and adapt to changing operational needs.
- Familiarity with food and beverage ingredients, kitchen supplies, and restaurant operations is a plus.
