QUALIFICATIONS:

  • Bachelor's degree in Hotel & Restaurant Management, Business Administration, Supply Chain Management, Culinary Management, or a related field (preferred).
  • Additional certifications in Procurement, Food Safety, or Supply Chain are an advantage.
  • 5 years of experience in purchasing or procurement within the hospitality, fine dining, hotel, or F&B industry.
  • Proven experience sourcing premium ingredients, specialty items, and luxury food and beverage products.
  • Strong vendor network and knowledge of high-quality suppliers, gourmet products, and seasonal market trends.

Skills:

  • Excellent negotiation, cost-control, and contract management skills.
  • Strong knowledge of food safety standards, product quality specifications, and proper storage/handling of perishable goods.
  • Ability to manage inventory systems.
  • Strong analytical and budgeting skills.
  • Exceptional attention to detail, especially regarding quality and freshness.
  • Effective communication and coordination skills with back of the house and operations teams.
  • Ability to work under pressure in a fast-paced, premium service environment.

RESPONSIBILITIES:

1.Supplier Management

  • Identify and evaluate potential suppliers.
  • Maintain relationships with existing vendors.
  • Request and review quotations (RFQs).
  • Assess supplier performance (quality, pricing, delivery).

2.Procurement Process Management

  • Prepare and issue purchase orders (POs).
  • Ensure purchases comply with company policies and budgets.
  • Track orders to ensure on-time delivery.
  • Maintain records of purchases, pricing, and other important data.

3.Negotiation & Cost Control

  • Negotiate prices, payment terms, and contracts.
  • Look for opportunities to reduce costs without compromising quality.
  • Conduct market research to monitor price trends.

4.Inventory & Material Management

  • Work with the store/warehouse to monitor stock levels.
  • Order materials and supplies to avoid shortages.
  • Assist in forecasting future material needs.

5.Quality Assurance & Compliance

  • Ensure purchased goods meet required quality standards.
  • Resolve issues related to defective or incorrect goods.
  • Ensure all procurement activities follow legal and ethical standards.

6.Documentation & Reporting

  • Prepare procurement reports (weekly/monthly).
  • Update supplier lists, contracts, and procurement files.
  • Maintain accurate data in ERP or procurement software.

7.Cross-Department Coordination

  • Coordinate with finance for purchase payments.
  • Work with production, engineering, or operations to understand their needs.
  • Support internal teams in getting the right materials on time.

8.Risk Management

  • Identify potential supply risks (delays, shortages).
  • Develop backup supplier options.
  • Monitor compliance with safety and regulatory requirements.
