Role Overview
We are seeking a detail-oriented and proactive Document Control Staff to manage, maintain, and continuously improve our documentation systems aligned with ISO Integrated Management System standards (ISO 9001, ISO 14001, ISO This role is critical to ensuring regulatory compliance, operational excellence, and seamless audit readiness across environmental, quality, and occupational health and safety domains.
Key Responsibilities
Document Management
- Maintain and control all IMS-related documents, records, and templates in accordance with ISO standards.
- Ensure timely review, revision, and distribution of controlled documents.
- Manage document versioning, access permissions, and archival protocols.
Compliance & Audit Support
- Prepare documentation for internal and external audits (ISO, regulatory, client).
- Track and close document-related nonconformities, CAPAs, and audit findings.
- Ensure alignment with legal, regulatory, and client-specific requirements.
Process Improvement
- Collaborate with cross-functional teams to streamline document workflows.
- Support the development and rollout of SOPs, work instructions, and policies.
- Recommend improvements to document control systems and practices.
Training & Awareness
- Assist in training staff on document control procedures and IMS requirements.
- Promote awareness of document compliance and retention policies.
Qualifications
- Bachelor's degree in Environmental Science, Industrial Engineering, Business Administration, or related field.
- Minimum 2 years of experience in document control within an ISO-certified organization.
- Strong understanding of ISO 9001, ISO 14001, and ISO 45001 standards.
- Proficient in document management systems (DMS), MS Office, and SharePoint.
- Exceptional attention to detail, organizational skills, and confidentiality.
- Effective communication and coordination skills across departments.
Preferred Skills & Attributes
- Experience in hazardous waste, sustainability, or manufacturing environments.
- Familiarity with ESG reporting, supplier documentation, or regulatory submissions.
- Ability to work independently and manage multiple priorities under tight deadlines.
