Job Summary

The Supply Chain Officer is responsible for end-to-end supply chain coordination, including demand forecasting, purchasing, inventory planning, supplier management, and logistics monitoring. The role ensures timely and cost-efficient availability of products while maintaining optimal stock levels in line with sales forecasts and business needs.

Key Responsibilities
1. Procurement & Buying

  • Manage purchase orders (PO) with both local and international suppliers.
  • Negotiate pricing, payment terms, and minimum order quantities (MOQs).
  • Review and validate supplier quotations against costing targets and margin requirements.
  • Monitor order status, shipment timelines, and supplier lead times.
  • Ensure PO accuracy (SKUs, pack size, unit cost, incoterms, shipment mode, etc.).
  • Coordinate importation documents (commercial invoice, packing list, COO, etc.).

2. Supplier Management & Forecasting

  • Prepare monthly/quarterly rolling forecasts and share with suppliers.
  • Align supply plans based on sales performance, campaign needs, and seasonality.
  • Track and update actual vs forecast consumption, adjusting future orders accordingly.
  • Maintain strong communication with suppliers on production schedule, delays, and stock risks.
  • Monitor supplier OTIF (On-Time, In-Full) performance and resolve supply issues.

3. Inventory Planning & Control

  • Maintain optimal stock levels to avoid overstocking or stock-out situations.
  • Monitor inventory ageing and manage slow-moving or near-expiry items.
  • Analyze sell-through, safety stock, reorder points, and warehouse capacity.
  • Coordinate replenishment for e-commerce, retail partners, and distributors.

4. Logistics & Distribution Coordination

  • Arrange inbound shipments (sea/air/land) and work with forwarders for clearance timelines.
  • Coordinate with warehouse for receiving, storage allocation, and stock accuracy.
  • Track landed cost and update product cost sheets and pricing models.
  • Support outbound distribution (retail, e-commerce, B2B, etc.).

5. Documentation & Reporting

  • Maintain updated supply chain tracker (PO status, inbound schedule, inventory).
  • Submit weekly and monthly reports on stock positions, inventory ageing, and supply risks.
  • Ensure all SKU data is accurate in ERP/system (UPC, pack size, dimensions, cost, etc.).

Qualifications

  • Bachelor's degree in Supply Chain, Business, Industrial Engineering, or related field.
  • 2–4 years experience in supply chain, procurement, buying, or logistics (FMCG preferred).
  • Strong analytical and forecasting skills.
  • Proficient in Excel / Google Sheets; experience in ERP systems is an advantage.
  • Excellent coordination and communication skills (internal + international suppliers).
  • Ability to handle multiple SKUs, timelines, and stakeholders.
