Position Overview:
We are seeking a highly self-driven and detail-oriented Finance Operations Specialist to
manage critical financial and compliance functions. This role is ideal for someone who has
a continuous improvement mindset, thrives in taking ownership of their work, and enjoys
cross-functional collaboration.
Key Responsibilities:
Billing & Invoicing:
o Collaborate with sales to generate and send accurate invoices to clients via
the QBO platform.
o Coordinate with the sales team to monitor and follow up on outstanding
payments.
Accounts Receivable:
o Track incoming payments and reconcile accounts.
o Maintain up-to-date records of receivables and aging reports.
Business Filings & Compliance:
o Ensure all business licenses and registrations are current across states of
operation.
o File annual reports and other required documentation to maintain good
standing.
Sales Tax Management:
o Leverage our sales tax platform to monitor sales tax reports before
submitting the filings in applicable jurisdictions.
o Stay informed of changes in tax regulations and ensure compliance.
Cross-Functional Collaboration:
o Work closely with the Sales team to align billing and client records.
o Partner with the CFO and financial analysts to support reporting and
strategic initiatives.
Qualifications:
Proven experience in finance operations, accounting, or a similar role.
Strong understanding of billing, AR, and compliance requirements.
Experience with multi-state business filings and sales tax reporting requirements.
Excellent organizational and time management skills, with the ability to complete
tasks in a timely manner.
Ability to work independently with minimal oversight.
Strong communication skills and a collaborative mindset, with the ability to think
critically.
Proficiency in accounting platforms such as Quick Books, or similar.
Preferred Qualifications:
Experience in a small business or startup environment.
Experience working in a software development company or software service-based
business models.
