About the Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant with a strong finance background to support our executive leadership team. This individual will play a dual role: providing top-tier administrative support and contributing to the financial reporting that help guide strategic decision-making.

Key Responsibilities

Executive Support:

  • Manage complex calendars, schedule meetings, coordinate travel, and handle correspondence for C-level executives.
  • Prepare agendas, take minutes, and ensure follow-up on action items.
  • Draft and proofread executive communications, presentations, and reports.
  • Act as a professional representative of the executive office, maintaining confidentiality and discretion.

Financial & Strategic Support:

  • Assist in preparing financial reports, forecasts, and presentations for board meetings and investor updates.
  • Support budgeting, expense tracking, and invoice approvals in collaboration with the finance team.
  • Review financial documents and identify discrepancies or areas for optimization.
  • Maintain organized records of contracts, purchase orders, and financial documentation.

Operational Support:

  • Liaise between executives and internal/external stakeholders, ensuring efficient information flow.
  • Coordinate special projects, ensuring timely delivery and alignment with business objectives.
  • Support the implementation of systems and processes to enhance operational efficiency.
  • Help monitor business performance metrics, providing executive summaries as needed.

Qualifications

  • Bachelor's degree in Finance, Accounting, Business Administration, or related field.
  • Minimum 5 years of experience as an Executive Assistant/Administration
  • Strong understanding of budgeting, reporting, and financial documentation.
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Google Workspace.
  • Exceptional organizational skills and ability to handle multiple priorities in a fast-paced environment.
  • Excellent communication skills (verbal and written) and high level of professionalism.
  • Ability to maintain strict confidentiality and exercise sound judgment.
