As a core member of the Administration Department, this position will primarily support marketing and digital marketing activities while also providing broad assistance across all back-office functions, including general affairs, human resources, accounting, and legal affairs.

This is a key role that ensures the smooth operation of all departments and contributes directly to the company's growth.

Marketing & Digital Marketing

  • Assist in managing social media accounts (Instagram, X, TikTok, etc.), including posting, initial responses to comments/DMs, and reporting.
  • Support the creation of website and social media content (e.g., basic image editing, drafting text).
  • Perform data entry and aggregation for marketing metrics (advertising performance, web analytics, social media insights, etc.).
  • Support the preparation and execution of marketing campaigns.
  • Assist with market research, including competitor and trend analysis, and help create reports.
  • Help prepare presentation materials.

General Assistant Duties

  • Provide administrative support across departments (General Affairs, HR, Accounting, Finance, Legal, Trade, Product Development, etc.).
  • Handle data entry, database management, and document organization and filing.
  • Prepare and manage materials such as meeting documents, reports, contracts, and internal notices.
  • Provide secretarial support to executives and management (e.g., schedule coordination, expense reimbursement, travel arrangements).

General & Administrative Affairs

  • Manage the main phone line, greet visitors, and serve refreshments.
  • Handle incoming and outgoing mail and packages.
  • Order and manage office supplies, consumables, and promotional materials.
  • Maintain and organize the office environment.

Accounting & Finance

  • Liaise with external vendors (e.g., payment confirmations, invoice verification).
  • Review and process expense claims.
  • Assist in invoice processing, payment requests, and data entry into accounting software.
  • Support accounts receivable and accounts payable management.

HR, Legal & Trade

  • Support HR activities, including employee onboarding/offboarding and attendance management.
  • Assist in filing and managing legal documents such as contracts and company registration papers.
  • Support the preparation and management of trade-related documents (e.g., invoices).

Other Duties

  • Perform other tasks as assigned and provide general assistance to support company operations.

Required Skills & Experience

  • Proficiency in basic PC skills (Word, Excel, PowerPoint).
  • Familiarity with social media platforms (Instagram, X, Facebook, TikTok, etc.).
  • Minimum of 2 years of experience in an administrative or assistant role.
  • Strong accuracy and speed in data entry.
  • Excellent communication and interpersonal skills.

Preferred Skills & Experience

  • Experience as an assistant in a marketing-related department.
  • Familiarity with simple graphic design tools (e.g., Canva).
  • Experience using Google Analytics or other social media analytics tools.
  • Basic bookkeeping knowledge.
  • Business-level English proficiency (reading and writing).
  • Back-office experience in a startup or fast-growing company.

Job Type: Full-time

Pay: Php25, Php30,000.00 per month
