Job Summary:
The Administrative Officer is responsible for ensuring efficient office operations and regulatory compliance while providing strategic support across business units. This role requires strong initiative, sound decision-making, and the ability to handle diverse administrative functions. The Administrative Officer also contributes to process improvements, vendor negotiations, and cross-departmental coordination to support the company's overall operational efficiency.
Duties and Responsibilities:
1. Office and Operations Management
- Ensure the accurate and timely processing of company payments, billings, and related transactions.
- Oversee office facilities, including repairs, maintenance, cleanliness, and vendor/service provider management.
- Maintain office equipment and supply inventory to support uninterrupted operations.
- Supervise front desk activities and deliver professional assistance to visitors, suppliers, and stakeholders.
- Manage and monitor the performance of messengers, utility staff, and other support personnel to ensure efficient task execution.
2. Compliance and Documentation
- Handle the timely processing and renewal of government permits, licenses, and insurance requirements to ensure company compliance.
- Monitor and coordinate intellectual property (IP) filings, renewals, and reports across all business units.
- Oversee documentation routing and submission for banking, government, and corporate compliance requirements.
3. Human Resources Support
- Assist in employee pre-onboarding and onboarding.
- Provide administrative support for HR programs, including employee engagement initiatives and company-wide events.
- Coordinate with HR and other departments to ensure efficient execution of employee-related processes.
4. Strategic Contribution
- Lead and take ownership of special administrative projects
- Proactively identify opportunities to streamline workflows, optimize processes, and improve overall operational efficiency.
- Support cross-functional and organizational initiatives that span multiple departments and business units.
