Key Responsibilities

Medical Records Management

  • Organize, maintain, and update patient medical records within EHR and internal systems.
  • Scan, index, and file clinical documentation to ensure accurate and efficient retrieval.
  • Ensure the security, integrity, and confidentiality of medical records in compliance with HIPAA and internal policies.
  • Process medical records requests from patients, providers, and authorized third parties in a timely manner.

Administrative Support

  • Coordinate with clinical and administrative teams to support efficient records workflows.
  • Audit medical records for completeness, accuracy, and compliance standards.
  • Assist with documentation related to billing, coding, and insurance as required.
  • Maintain organized archival systems for inactive or historical records.

Patient Interaction

  • Respond to patient inquiries related to medical records access and requests.
  • Provide clear guidance to patients regarding records release procedures.
  • Handle sensitive information with professionalism and discretion.

Compliance & Quality Assurance

  • Stay informed on changes to medical recordkeeping regulations and payer requirements.
  • Ensure records meet internal quality benchmarks and regulatory guidelines.
  • Participate in ongoing training related to EHR systems and documentation standards.

Qualifications

Education & Experience

  • High school diploma or equivalent required.
  • Associate degree or certification in Health Information Management, Medical Records, or a related field preferred.
  • Minimum of 2 years of experience in medical records management within a healthcare setting.
  • Experience working with EHR systems such as eClinicalWorks or similar platforms.

Skills & Competencies

  • Strong organizational skills with high attention to detail.
  • Working knowledge of HIPAA regulations and medical terminology.
  • Effective written and verbal communication skills.
  • Ability to manage multiple tasks independently in a fast-paced environment.
  • Proficiency in Microsoft Office and healthcare documentation systems.
