
Executive Secretary

We are seeking a dynamic and experienced Executive Secretary to provide high-level administrative support to our senior management team. The ideal candidate is organized, discreet, proactive, and possesses exceptional communication and time-management skills. This role requires a high degree of professionalism and the ability to handle sensitive information with integrity.
Key Responsibilities:
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Organize and coordinate meetings, conferences, and special events.
- Take accurate minutes and follow up on action items.
- Handle confidential documents and maintain secure filing systems.
- Screen and direct phone calls, emails, and inquiries appropriately.
- Serve as a liaison between executives and internal/external stakeholders.
- Perform general office duties including filing, photocopying, and ordering supplies.
- Support the executive team with project coordination and administrative tasks as needed.
Qualifications:
- Proven experience as an Executive Secretary, Executive Assistant, or in a similar administrative role.
- Bachelor's degree in Business Administration, Office Management, or a related field (preferred).
- Exceptional organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of discretion and confidentiality.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Skills:
- Prior experience in a corporate, hospitality, or executive-level environment.
- Familiarity with document management systems and virtual meeting tools (e.g., Zoom, Teams).
- Strong interpersonal skills and professional demeanor.
