Position Purpose:

This position provides support across the Operations function within the company. Timely and accurate order processing is a key part of this position. This position has a core focus on data entry and processing of stock orders and Point of Sale Materials (POSM).

Working within set parameters and guidelines, this position liaises closely with Cosmax team members and may be required to liaise with customers and suppliers from time to time. The ability to meet deadlines and consistently display high attention to detail are critical aspects of this role.

Key Responsibilities:

Core duties of the role include:

  • Data entry of stock orders, tester orders and POSM requests into SAP. These will generally be sourced from the inbox and EDI.
  • Processing, checking and tracking customer orders, ensuring accuracy of orders and charges.
  • Processing, checking and tracking tester and collateral (POSM) orders. Updating POSM provision tracking at least monthly.
  • Generate daily shipping and order reports and distribute in a timely manner to all relevant parties.
  • Managing allocations of stock to channels, ensuring customer satisfaction and fair distribution of stock across all channels.
  • Communicating with relevant departments, customers and other stakeholders in relation to orders including discrepancies or missing orders. Processing returns, discrepancies and adjustments in a timely manner.
  • Track order despatch and delivery times with both the warehouse and external courier companies. Update records as required and provide prompt communication with relevant departments in relation to any delays.
  • Record and monitor orders related to special occasions, pop-up stores, new store launches etc.
  • Review and enter new season order forms before marketing distributes to sales team.
  • Maintain Standard Operating Procedures relevant to this position.
  • Other duties as directed by managers and company Directors.

Core Skills:

To be successful in this role, team members will likely have experience in:

  • FMCG or a similar fast paced, supply chain (or related) environment
  • High volume order processing ideally using SAP
  • Understanding of EDI systems and flows
  • Highly accurate and efficient data entry skills.
