KEY DUTIES AND RESPONSIBILITIES:

A. Administrative Management

· Oversee day-to-day administrative operations, including office management, facilities maintenance, and general services.

· Develop and implement administrative systems, policies, and procedures to support business operations.

· Ensure compliance with company regulations, safety standards, and government requirements.

· Supervise and guide administrative staff to ensure operational efficiency and adherence to company standards.

· Coordinate company events, travel arrangements, and other logistical requirements.

· Monitor and control administrative budgets, including office supplies, repairs, and utilities.

· Support HR and Finance in implementing employee support services such as transportation, office permits, and utilities.

B. Procurement and Supply Chain Management

· Develop, implement, and oversee procurement strategies aligned with company goals and project timelines.

· Source, evaluate, and negotiate with suppliers to ensure cost efficiency, quality, and timely delivery of goods and services.

· Monitor inventory levels and ensure availability of critical materials and tools for ongoing and upcoming projects.

· Review and approve purchase requests, purchase orders, and supplier contracts.

· Maintain a database of accredited suppliers and conduct regular performance evaluations.

· Work closely with project, engineering, and finance teams to ensure procurement aligns with project and budget requirements.

· Ensure all procurement transactions are transparent, documented, and compliant with company policy.

C. Logistics and Warehouse Management

· Plan and manage logistics, warehousing, and distribution operations to ensure efficient delivery of materials and equipment.

· Coordinate shipment schedules for local and imported materials, ensuring compliance with customs and delivery timelines.

· Oversee inventory management, including receiving, issuance, and storage of materials and tools.

· Implement inventory control systems to minimize waste, loss, and obsolescence.

· Ensure warehouse safety and organization, in compliance with occupational and safety standards.

D. Reporting and Coordination

· Prepare periodic reports on administrative operations, procurement status, supplier performance, and inventory levels.

· Coordinate with Finance for budget forecasting and expense monitoring.

· Collaborate with Operations, Project, and Engineering teams to ensure material availability and timely delivery.

· Participate in management meetings to provide updates on supply chain and administrative performance.

JOB QUALIFICATIONS:

· Education: Bachelor's Degree in Business Administration, Supply Chain Management, Industrial Engineering, or equivalent.

· Experience: At least 5–7 years of relevant experience in supply chain and administration, preferably in a solar, construction, or engineering company.

· Strong leadership and team management skills

· Excellent supplier negotiation and contract management abilities

· Knowledge of project-based procurement and logistics operations

· Familiarity with importation processes and local supply market

· Strong analytical, organizational, and communication skills

· Integrity, confidentiality, and attention to detail
