Job Title: HR Assistant

Job Summary:
The HR Assistant is responsible for supporting the Human Resources department in various administrative functions, including payroll processing, compensation and benefits administration, purchasing and inventory of supplies, general administrative tasks, budget requests, and budget releases. This role ensures smooth HR operations while maintaining compliance with company policies and labor regulations.

Key Responsibilities:

Payroll Processing:

Assist in the preparation and processing of payroll, ensuring accuracy and timeliness.

Maintain and update payroll records, including attendance, overtime, and deductions.

Coordinate with Finance for payroll disbursement and statutory compliance.

Address payroll-related concerns and inquiries from employees.

Compensation and Benefits:

Assist in the administration of employee benefits, including government-mandated and company-offered benefits.

Process and track leave requests, health insurance, and other employee benefits.

Ensure timely submission of government-mandated reports and contributions (SSS, PhilHealth, Pag-IBIG, etc.).

Maintain and update employee records related to compensation and benefits.

Purchasing and Inventory of Supplies:

Monitor and maintain an inventory of office and HR-related supplies.

Process purchase requests for office supplies, equipment, and other necessities.

Coordinate with suppliers and vendors for quotations, orders, and deliveries.

Ensure cost-effective purchasing while maintaining quality standards.

Keep records of all purchases and inventory transactions.

Administrative Tasks:

Handle HR-related documentation, filing, and record-keeping.

Assist in recruitment, onboarding, and offboarding processes.

Support HR initiatives, such as training, employee engagement, and company events.

Maintain confidentiality of employee records and sensitive HR information.

Budget Requests & Releases:

Prepare and submit budget requests for HR-related expenses (payroll, benefits, office supplies, etc.).

Coordinate with Finance for the release of approved budgets.

Monitor and track HR department expenditures to ensure budget compliance.

Maintain records of all budget transactions and approvals.

Qualifications:

Bachelor's degree in Human Resources, Business Administration, or a related field.

Previous experience in HR, payroll, purchasing, or administrative work is an advantage.

Knowledge of labor laws, payroll processes, and employee benefits administration.

Strong organizational and multitasking skills.

Proficiency in Microsoft Office (Excel, Word, Outlook) and HR software.

Excellent communication and interpersonal skills.
