Executive Secretary

Job Objectives
- To provide secretarial and administrative support in order to ensure that services are provided in an effective and efficient manner.
- To offer high proficiency in carrying out diversified functions; organizing schedules, managing correspondence and preparing press releases and conference agendas in order to smooth out the work of executives.
- To understanding of prioritizing clerical, secretarial and administrative efforts to manage smooth operations for the company's executives.
Duties and Responsibilities
- Maintains records, files and a pleasant working environment conducive to productive outcome.
- Maintains efficiently and effectively safe keeping of files of correspondence and other pertinent materials.
- Meets and greets clients and visitors, answers telephone in appropriate manner.
- Clerical duties photocopying, typing/encoding, faxing, filing etc.
- Set-ups and coordinates meetings/appointments and reminds the immediate superior.
- Takes minutes of board, staff and executive committee meetings, transcribes materials using a computer and distributes minutes to designated personnel.
- Proper and consistent communication with the superiors and to other departments/offices.
- Opens and sorts mail, point outs item of unusual interest.
- Performs clerical duties incident to such activities.
- Performs other related duties incidental to the work described herein or as may deem necessary by the immediate superior.
Qualifications
Education:
- Must possess at least Bachelor's degree or equivalent.
Work Experience/s:
- Preferably at least one (1) year of work experience.
Special Qualities/Skills Required:
- Must possess excellent English communication skills, oral and written.
- Must be computer literate.
