III. JOB DESCRIPTION

  1. Act as Executive Secretary to the ED by performing secretarial, administrative, and general office duties, which include organizing the appointments of the ED, managing/maintaining the ED's corporate mail, and arranging and facilitating the ED's travel and all related documents, etc., to ensure efficient execution of the ED's responsibilities;

  2. Act as Secretary of OED by processing staff's Daily Time Record (DTR) as Marshall of the Computerized Attendance Monitoring System (CAMS), processing official travels and leave of absences, preparing monthly reports (e.g., staff hazard pay, Certification of Actual Exposure, subsistence and laundry allowances, etc.), and facilitating dispatch of vehicles for the ED and OED staff, in compliance with appropriate existing guidelines/policies;

  3. Serve as alternate to the budget controller of OED and assist in the management of regular funds, ED's reserve funds, miscellaneous and extraordinary expenses by preparing and consolidating financial documentary requirements and/or reports, and facilitating financial transactions (including handling of cash advances, among others), based on applicable guidelines and policies;

  4. Provide logistical and administrative support to different OED activities by coordinating and arranging appropriate resource requirements for the efficient and successful execution of OED's initiatives;

  5. Serve as OED representative in appropriate committees and technical working groups (TWGs) by participating in relevant activities such as meetings, capability-building activities, etc., for efficient communication, timely information sharing, and adherence to divisional requirements.
